Who this policy covers
This policy explains how personal information is handled when you visit Splatr’s website, contact us, commission property visuals or use our presentation software and Reimagine. We serve businesses and individuals worldwide. Which privacy rights apply depends on your location and the processing involved.
For our own enquiries, customer relationships and billing, the business operating Splatr is responsible for deciding how personal information is used. Where we host or process personal information solely on a business customer’s instructions, that customer normally acts as controller and we act as processor under a data-processing agreement.
Information we handle
- Enquiries: your name, email, company, role, service interest and the message you send through our contact form or email.
- Orders and accounts: contact and account details, agreed scope, invoices, payment status, software plan and support correspondence, where applicable.
- Project material: floor plans, property photographs, reference images, models, renders, descriptions and branding you provide. Files can contain personal information, addresses or metadata.
- Reimagine inputs and outputs: the room image, prompt or reference image submitted for a generation and the resulting alternative visual.
- Technical information: information supplied by your browser when it requests a page, and website traffic information processed through our analytics integration.
Information comes from you, the organisation or agent managing your property presentation, and the services used to operate the website or fulfil your order. Please avoid including identifiable people, sensitive personal information or unnecessary private details in project files and AI prompts.
Information needed to respond to an enquiry or fulfil an order must be provided for us to do so. Optional information is not a condition of purchase unless clearly explained.
Why we use it
We use information to respond to enquiries, prepare proposals, create agreed visuals, provide software access, generate requested room variations, host presentations, provide support and administer payments. We also need to maintain service security, address misuse and keep records required by law.
Where UK or EU data-protection law applies, our legal bases are:
- Contract: steps you request before a purchase and delivery of a contract with you.
- Legitimate interests: responding to business representatives, operating and securing our services, and resolving disputes, balanced against individuals’ rights.
- Legal obligation: applicable accounting, tax and other legally required records or disclosures.
- Consent: activities that require it, such as certain marketing and optional tracking. Consent can be withdrawn without affecting earlier lawful processing.
A request for service does not itself constitute consent to unrelated marketing. Customer files processed on behalf of an organisation are handled under its documented instructions and the applicable processing agreement.
Property files and shared pages
The customer decides which property details, images, branding and contact options to include in a presentation. Customers must have the necessary rights and a lawful basis for providing personal information about owners, residents, staff or other people.
A public presentation may be viewed by anyone with access to its link. Links can be forwarded and public content may be copied or indexed. Review the material and available access settings before publishing.
If you follow an agent’s contact button, reservation link or other external call to action, the receiving organisation’s privacy policy applies to information you provide there. Where an agent collects your information through a presentation, its privacy notice must explain its use of that information.
If your information appears in a customer’s presentation, contact that customer or email us with the relevant page and your concern. We will assess our role and assist with the appropriate response.
Reimagine and AI processing
Reimagine processes requests through Microsoft Azure, using a room image and your prompt or reference image to create an alternative 360° visual. Information in those inputs is processed as part of the generation request. The result is a visual concept and may contain inaccuracies.
Only submit material you are authorised to use. For questions about how your project’s AI inputs and outputs are handled, contact hello@splatr.tech.
Providers and other recipients
Our app data is encrypted and hosted on Microsoft Azure servers in Sweden. The marketing website has separate integrations: Vercel for website delivery and analytics, and Resend to route contact-form messages to our business inbox. The website also requests fonts from Google Fonts, which involves a connection from your browser to Google’s servers.
Relevant information may also be shared with providers used to fulfil your order, professional advisers subject to confidentiality, and authorities where legally required. If the business transfers ownership, any necessary disclosure must respect applicable privacy law and appropriate confidentiality.
Storage and international access
App data is stored in Sweden. Storage location does not necessarily determine where provider support, analytics, email delivery, AI processing or administrative access occurs.
Retention and deletion
We retain personal information for as long as needed to respond to your enquiry, fulfil your project, maintain your active presentation, resolve disputes or meet legal record-keeping obligations. The retention period depends on the type of information, the duration of your service and applicable legal requirements.
Contact us to request deletion or arrange an export before hosting ends. Requests are subject to applicable legal rights, the customer’s instructions where we act as processor, and any records that must lawfully be retained. Removing a shared page cannot recall copies already saved by others.
Security
App data is encrypted on our Azure infrastructure in Sweden. No online system can guarantee complete security. Keep your account credentials private and report suspected unauthorised access or an exposed presentation to hello@splatr.tech.
Your privacy rights
Depending on applicable law, you may request access to your personal information, correction, deletion, restriction of use or a portable copy. You may also object to certain processing, including direct marketing, and withdraw consent where processing relies on it. These rights have conditions and exceptions.
Email hello@splatr.tech with your request. We may need proportionate information to verify your identity. Where UK GDPR applies, we normally respond within one month, subject to lawful extensions. If we act for a customer, we will help direct your request to the controller.
You may complain to the regulator responsible for your jurisdiction. Where UK data-protection law applies, you can contact the Information Commissioner’s Office. You do not need to contact us first to exercise that right.
Children, changes and contact
Our purchasing services are intended for adults and organisations. Please contact us if a child has submitted personal information so we can assess it and take appropriate action.
We will update this policy when our services or processing arrangements change and provide additional notice where required. The date above identifies the latest version.
For privacy questions or complaints, email hello@splatr.tech.
